The Workplace Services Coordinator will provide office operations support to the Nashville office.  This is a hands-on role that will support the office and assist with a variety of administrative tasks. This position reports to the Regional Workplace Services Director and on-site Office Director. 
 
Job Responsibilities 
  • Day-to-day office operations support, including oversight of hoteling processes and conference rooms. 
  • Facilities coordination/building management contact. 
  • Assist with onboarding, workspace setup, and onsite recruiting support.
  • On-site IT-related responsibilities such as being a resource for firm technology, including being well versed in Microsoft Teams and other firm tools.
  • Management of vendors, accounts payable; budgeting. 
  • Maintain office equipment, office supplies, and pantry areas restocking as needed.  
  • Assist with completing reproduction projects in a timely and accurate manner as needed, which may include binding and index preparation. 
  • Event planning, coordination, and execution which sometimes require after-hours support. 
  • Support office and team level communications from both notification and assisting in reinforcing team success and office culture standpoints. 
  • Other administrative tasks, including time/expense entry, travel arrangements, scanning documents, data entry, faxing, FedEx logistics, mail delivery, etc.  
 
Education:        
  • High school diploma required.  BA degree/ or equivalent years of professional services experience preferred. 
 
Experience: 
  • Minimum of three years of experience as a lead in a professional services environment, preferably consulting or legal.

  • Provide exceptional client service to visitors, candidates, and employees always with a positive, upbeat and “roll up your sleeves” approach; 
  • Be a creative problem solver that can think creatively, work independently, and proactively seek guidance when appropriate; 
  • Demonstrate an attention to detail, follow through on assignments to completion, and multi-task in an environment with rapidly changing priorities;
  • Technically savvy with ability to quickly learn new software systems such as hoteling, time entry and intranet tools;
  • Project a mature presence, empathy and intellectual curiosity while balancing the ability to receive direction and digest constructive feedback; 
  • Ability to multi-task and prioritize activities in a rapidly changing environment; 
  • Exhibit excellent written and oral communication skills with a confident and clear communication style and ability to handle sensitive information and preserve confidentiality; 
  • Demonstrate strong time management, project management and organizational skills; and 
  • Flexibility and willingness to occasionally work overtime as needed. 
Salary Range: $55,000-$75,000
Candidate must be able to submit verification of his/her legal right to work in the United States, without company sponsorship.
