Summary:            

This position reports to the onsite Office Director and to the Regional Workplace Services Director.  This position is on site 5 days a week.                    

Job Responsibilities:               

  • HR responsibilities including onboarding and onsite recruiting support.
  • Facilities coordination, building management, and day-to-day operational support.
  • Supervise Workplace Services Associate and act as a backup in both roles when they are out of the office.
  • Maintain office equipment and order supplies as needed.
  • Event planning, coordination, and execution for both internal and external focused events.
  • Administrative responsibilities for national vendor accounts.
  • Vendor management, accounts payable, and budgeting.
  • Receive and schedule FedEx pickups and assist with FedEx in-store deliveries.
  • Review daily mail; scan and email items to relevant department.
  • Receive and store IT inventory.
  • Onsite IT-related responsibilities such as supporting video and conference room technology, office and workstation setups, trouble-shoot malfunctioning equipment and contact appropriate vendor for resolution as needed.
  • Assist with setups for depositions and document creation.
  • Assist Forensics team members with client matters.
  • Monthly review of budget to actuals and report to Office Director. 

Qualifications:              

Education              

  • BA degree preferred

Experience              

  • Minimum of five years of experience in a professional services environment, preferably consulting or legal, with an emphasis on customer service. 
  • Previous supervisory experience required.

  • Demonstrate advanced Microsoft Office skills including PowerPoint, Excel, Microsoft Teams, and SharePoint

  • Demonstrate strong time management, project management, and organizational skills
  • Exhibit excellent written and oral communication skills with a confident and clear communication style and ability to handle sensitive information and preserve the confidentiality
  • Research, summarize and communicate important details
  • Be flexible and willing to work overtime occasionally, when needed.

  • Ability to maneuver and lift items up to 50 lbs.
